Who this covers
TFF Trainer Dashboard (“the app”) is an internal tool built for Air Judo Corporation, d/b/a Total Form Fitness (“we,” “us,” “the gym”) and used by our staff trainers to manage client rosters, build workout programs, and log training sessions. This policy explains what personal data the app collects, why, and how it’s handled.
The app is not available to the general public and is not intended for use by anyone outside our staff.
What we collect
The app is used by our trainers to record information about our gym’s clients as part of delivering training services. This includes:
- Contact information: client name, email address, phone number
- Account credentials: a trainer’s login email (used only to sign in — we never see or store the password itself; that’s handled by our backend provider, Supabase, using standard encrypted authentication)
- Health-adjacent notes: injuries or physical limitations a client tells their trainer about, so training can be adjusted safely around them
- Fitness data: workout programs, logged sets/reps/weights, and fitness evaluations
- Free-text notes: goals and other notes a trainer records about a client
We do not collect location data, camera/photo access, contacts, or any data for advertising purposes. The app has no ads and no analytics/tracking SDKs of any kind.
Why we collect it
Every piece of data listed above exists for one reason: to run the training relationship between a client and their trainer — building programs, tracking progress, and keeping trainers aware of anything they need to work around. Nothing is used for marketing, resold, or shared with data brokers.
Who can see it
Only our staff trainers and gym admins, through the app, while signed in with their own account. There is no public-facing view of any client’s data.
Where it’s stored
Data is stored with Supabase (supabase.com), our backend database provider, which encrypts data in transit (HTTPS/TLS) and at rest. Supabase acts as our data processor — it stores data on our behalf and does not use it for its own purposes.
How long we keep it
For as long as you’re an active client, and as needed afterward to maintain our business and legal records.
Your rights / how to request a change or deletion
Since client data in this app is entered and managed by our trainers on the gym’s behalf, if you are a client and want to review, correct, or delete your information, contact us directly:

We’ll handle the request through the app’s admin tools within a reasonable time. (We do not currently offer an automated self-service deletion flow — requests are handled by a staff member.)
Children’s privacy
This app is a staff tool, not directed at children, and we do not knowingly collect data about anyone under 13 through it.
Changes to this policy
If this policy changes, we’ll update the date at the top of this page.
